Phone Call Notes Template (Free, Print or On Screen)
A phone call notes template is worth keeping only if you can fill it in while the seller is still talking. The sheet below is one page of labeled lines built for that: short enough to scribble on mid-call, structured enough to type up in about five minutes.
Most call sheets fail because they ask for paragraphs. Real calls give you fragments — a number, a repair, a date that matters to the owner — so the page needs a labeled home for each one. These lines force the six things that decide whether a call becomes a contract: motivation, numbers, timeline, decision makers, objections, next step. A Word and Google Docs version is in call notes template word.
The template
PHONE CALL NOTES — [date] — [caller] Who I reached: [name] · [number] · [best time to call back] Property: [address] · [city/county] · [beds/baths] · [occupied?] List source: [cold call list · bandit sign · referral · list number] While they talk (fragments, not sentences) - Situation: [job · health · tenants · taxes · probate · divorce] - Why now: [what changed this month] - Numbers: [asking] / [wants to net] / [loan balance] / [back taxes] / [rent] / [repairs] - Timeline: [days · weeks · "before the end of the year"] - Decisions: [spouse · siblings · attorney · executor] Right after we hang up - Motivation in one sentence: - Offer range I can defend: - Objection they raised + what I said back: - Next step with a date and an owner: [who] does [what] by [date] - Disposition: [appointment · follow up (when) · dead (why) · not a fit] Paste into: [CRM contact record]
How to use it
- Print a stack and keep it by the phone. Paper is the fastest place to write a number mid-sentence.
- Fill the lines in the same order every dial. A fixed order makes a missing number obvious while the seller is still talking.
- Write numbers verbatim. "One twenty-five, and I want to net a hundred" beats "wants a strong offer." If they did not say it, leave the line blank.
- Name the next step before you hang up. A date and an owner — "I send comps Thursday, she calls her brother Friday" — not "will follow up."
- Skip the typing. This is the sheet; DealWrap fills it in from the recording of the call you just made and you paste it into your CRM. Free plan, 30 minutes a month, no card.
The dial matters as much as the page: the opening and questions are in the wholesaling cold call script, and the reasoning behind these fields is in how to take notes during a cold call.

Questions
How do you take notes during a phone call?
Fragments during, structure right after. While they talk you write the number, the motivation, the date that matters to them, and who else signs. Then within five minutes you add the offer range, the objection, and the next step with a date.
What is the best way to take notes on a phone call with a seller?
One page, labeled lines, same order every dial. A fixed order shows you what is missing while the seller is still talking, so you ask mid-call instead of finding the hole when you write the offer. Numbers go down as spoken, and the sheet lands in the CRM that day.
Is there a tool that writes these notes for you?
Yes, if the call is recorded. DealWrap reads that recording and writes these fields — situation, numbers, timeline, decision makers, objections, next step — plus a follow-up message, as a Chrome extension on the dialer you already use. Honest limits: it needs a recording, it does not listen live, and you still paste the result into your CRM.
Questions people ask
How do you take notes during a phone call?
Write fragments, not sentences. While the seller talks you put down the number they said, the reason they are selling, the date that matters to them, and who else decides — four short lines on a printed sheet or a second window beside your dialer. Structure follows within five minutes of hanging up, when motivation, numbers, timeline, decision makers, objections, and the next step become a record instead of a memory.
What is the best way to take notes on a phone call with a seller?
One page with labeled lines, filled in the same order every time. Same order means you notice a missing field mid-call and ask for it, instead of discovering the gap when you are writing the offer. Numbers get written verbatim as spoken, and the page moves into the contact record the same day.
Is there a tool that writes these notes for you?
Yes, if the call is recorded. DealWrap reads the recording from the dialer or phone system you already use and fills in this same sheet — situation, numbers, timeline, decision makers, objections, next step — plus a follow-up message, so the only manual step left is pasting it into your CRM. It runs as a Chrome extension, the free plan covers 30 minutes a month with no card, and it needs a recording: it does not listen live and it will not make the offer for you.
