GoHighLevel Call Transcription: Keep Every Call Note
GoHighLevel call transcription is the bridge between a recorded seller call and a note your team can use: the recording becomes text, and the text becomes a contact note, a few fields, and a dated task. If your account records calls, you have the raw material. The missing step is a note the next caller can read in ten seconds.
This guide gives you the note format, where each part belongs, and a filled-in seller example. It assumes you dial from a HighLevel number and want the note on the contact record. Keep a separate call log template for one row per dial across a campaign.
The GoHighLevel call note template
Paste this into the contact's Notes tab after the call, then update the custom fields and create the task it describes.
CONTACT NOTE Call date: [date] [time] Outcome: reached / voicemail / callback / appointment / not interested Seller situation: [why they are selling, in one sentence] Property: [address] · [beds/baths] · [occupancy] · [condition] Numbers: asking [price] · mortgage [balance] · repairs [estimate] · offer [range] Timeline: [their deadline] Decision makers: [who else has a say] Objections: [what they pushed back on, in their words] Next step: [specific action] — [owner] — [date] CUSTOM FIELDS Motivation: [probate / tired landlord / absentee / divorce / other] Timeline: [30 days / 60 days / 6 months / unsure] Follow-up date: [date] TASK Title: [action, e.g. "Call Evelyn — revised offer"] Due: [date] · Assigned to: [you] TAGS [market] · [lead source] · [temperature] RAW TRANSCRIPT [paste here, or link the recording]
How to use it
- Confirm recording before you dial. Test your own number once, then check the contact's conversation for the recording and transcript.
- Read the transcript end to end while you still remember the tone.
- Use the seller's words. "Wants it gone before the tax sale" beats "highly motivated."
- Keep one line per field. Detail belongs in the raw transcript below.
- Copy motivation, timeline, and follow-up date into custom fields so they are reportable.
- Create the task in the same pass; a note without a dated next step is not a follow-up system.
- Tag by market, source, and temperature so later campaigns can find the contact.
- Review generated lines before saving. Transcripts mishear names, prices, and addresses.
The manual version is copying each field out of the transcript and into the contact. DealWrap fills it in from your recording and hands you a finished note, custom-field values, and a follow-up message to paste into HighLevel.
Worked example
Evelyn Brooks owns a duplex in Cordova, Tennessee. She called back after a probate mailer and left a recording on your HighLevel number. Her contact note looks like this:
| Field | Value |
|---|---|
| Outcome | Reached |
| Situation | Widowed in March; wants to sell and move near her daughter |
| Property | 1180 Meadow Lane · duplex · one unit vacant · older roof and HVAC |
| Numbers | Asking $240,000 · free and clear · repairs about $35,000 |
| Timeline | Wants it under contract within 60 days |
| Decision makers | Daughter in Nashville; attorney handling the estate |
| Objections | Thinks an investor will "lowball" her because of the probate |
| Next step | Send offer range and probate document checklist — you — 2026-10-21 |
The custom fields get motivation "probate," timeline "60 days," and follow-up date 2026-10-21. The task is "Call Evelyn — offer range follow-up," due the same day. The tag set is Memphis, probate mailer, warm. Her daughter and the attorney stay in the note; they are why the second call needs a different script.
Transcription puts the detail in the recording; the contact record holds the decision. If you want the writing step handled too, install DealWrap from the Chrome Web Store. The free plan includes 30 minutes a month with no card, and it works alongside HighLevel rather than replacing it.
FAQ
Does GoHighLevel transcribe calls?
Recording and transcription depend on your phone number, plan, and connected tools, so check the call inside the contact's conversation first. If a recording exists but no transcript does, run it through a transcription tool, then paste the note above onto the contact. Test your own number before assuming every call is captured.
Where should call notes go in GoHighLevel?
Put the readable summary in the contact's Notes tab so it survives pipeline changes, put filterable facts such as motivation and timeline in custom fields, and create a task for the next step. The opportunity stage tells you where the deal sits; the note tells the next caller what was actually said.
Is there a tool that writes these notes for you?
Yes, if the call is recorded. DealWrap reads the recording and writes the same fields this template asks for, plus a follow-up message, so you paste a finished note into the HighLevel contact instead of typing it from memory. It runs in Chrome on calls you already make, the free plan covers 30 minutes a month with no card, and you still review the note before saving it.
For the first qualification call, the seller call notes template gives you a shorter field set.
