Real Estate Follow-Up Texts & Emails
Most deals are lost in the gap between the call ending and the follow-up going out. These are the templates that close that gap: three text tones and one email, each written to be sent within minutes — not next week.
Text 1 — professional
Hi [name], thanks for the time just now. I'm putting the numbers together for [address] and will have a written offer over to you [day]. Does that work?
Text 2 — direct
[name] — good talking. I'll have your cash offer ready [day]. Want it by text or email?
Text 3 — empathetic
Thanks for the chat earlier, [name]. I know moving is a lot — I'll take the paperwork side off your plate completely. Anything you want me to go over with [family member] when I send the offer?
The email (the one they can forward)
Subject: Cash offer for [address] — next steps Hi [name], Thanks for speaking with me today about [address]. I'm running the numbers now and will send a written cash offer that works with [timeline they gave you]. If anything changes on your end — or [family member] has questions — just reply here or call me at [number]. Talk soon, [name]
The rules behind them
- One next step, stated as a fact. "I'll have it over Tuesday" — not "I'll try to get back to you."
- Never "just checking in" or "touching base." Those get archived.
- Use the details from the call — the address, the timeline they gave, the person they mentioned. Generic messages read as spam.
- End with a question on SMS; it roughly doubles replies.
DealWrap drafts all four of these from the call recording — with the real details filled in — the moment your note is ready. Try it on your next call.
Questions people ask
How soon should I follow up after a seller call?
Within the hour, ideally within ten minutes. The seller is still thinking about the conversation — that's your window.
Text or email first?
Text first (highest open rate in the US), then the email within the same day so they have something to forward to a spouse or sibling.
What should the first follow-up say?
One line referencing the call just now, one line stating the next step, and a simple question. No paragraphs, no 'checking in'.
